We are an event management agency working with a range of clients who are organisers of business to business conferences and exhibitions across multiple sectors and as such data and information is central to the services we provide to those organisations.

5.  Programmes run for our clients

Our clients operate exhibitions and events and our business is based on helping those clients make such exhibitions and events successful. We operate a variety of programmes for our clients who operate such exhibitions and events, such as facilitation of VIP and international delegations, hosted buyer programmes and content creation. Accordingly, our clients may collect personal data from you when you attend or register for an event or exhibition. If you require further detail relating to what data is collected and the purposes for which such data may be used, you should contact the relevant event organiser, and review the terms of their privacy notices.    

6. Who we might share your data with

In certain circumstances we may share your personal data with:

• The clients who we provide services to, where necessary for the purposes of your attendance at exhibitions or events, and where we contact you via social edia platforms.

• Any other third parties where necessary to enable us to enforce our legal rights, or to protect the rights, property or safety of our employees or here such disclosure may be permitted or required by law.

7. How we look after your personal data and how long we keep it for

The length of time for which we will retain personal data will depend on the purposes for which it is retained. After we no longer need to retain your personal data, it will be deleted or securely destroyed.

Your personal data is securely stored in an encrypted cloud-based storage facility inside the European Economic Area (EEA). In certain circumstances your personal data may be securely stored in an encrypted cloud-based storage facility outside of the EEA dependent on the service provider’s own storage infrastructure. In such circumstances, we will take all steps possible to ensure that any of your personal data  is adequately protected and stored in accordance with this Privacy Policy, and where necessary, we put in place relevant safeguards to ensure the safe processing of your data.

9. Your rights in relation to your Personal Data

You have the right to:

• Request a copy of the personal data that we keep about you, by making a request in writing to the Data Protection Manager. Our Data Protection Manager’s details are provided on Page 1 of this policy. You can ask us to provide the data in a commonly used, machine readable format, and where we are able to; transmit this data to another organisation.

• The right to object to us processing your personal data where we have a legitimate interest to do so, as listed in section 4, but your rights override ours based on your particular situation (which you will need to explain to us).

• Contact the Data Protection Manager if you are concerned that any of the personal data we hold on you is incorrect, to have that data corrected.

• Contact the Data Protection Manager to ask us to stop processing your data, or withdraw consent where we are relying on consent as the legal basis for any processing of your data.

• Contact the Data Protection Manager to request that we port elements of your data either to you or where relevant to another service provider.

• Contact the Data Protection Manager to request that we delete your personal data.
